Getting started

How do I create an account?

Go to Sign up, enter your name, company, email and a password, and tick to accept the Terms and Privacy Policy.

We'll email you an activation link. Click it, then log in. If the email doesn't arrive within a few minutes, check your spam folder, or try to log in and use the "Resend activation email" button.

I forgot my password

On the login page click "Forgot password?", enter your email address and we'll send you a reset link. The link opens a page where you choose a new password. Reset links expire after a short time, so request a new one if it has stopped working.

Why was I signed out with a message about another device?

Each PalletBrain account can be signed in on one device at a time. When you log in somewhere new, any other session for that account is signed out within about a minute. This protects your account and keeps one login per person. If you need more people using PalletBrain, the Team plan gives each person their own seat.

Which browsers are supported?

Any current version of Chrome, Edge, Safari or Firefox, on desktop or mobile. The 3D view needs WebGL, which every modern browser supports.

Using the calculator

What are the basic steps?

1. On the Setup tab, choose your pallet size and the maximum load height (and an optional weight limit). 2. On the Boxes tab, add each box type with its length, width, height, quantity and weight. 3. Pick a packing mode and press Calculate. 4. Look at the 3D view and the Results tab for pallet counts, fill, weight and volume.

New to it? Press "Load an example" on the Boxes tab (shown while your box list is empty) to see a worked example.

What do the packing modes do?

Max Fill packs the most boxes per pallet. Stability keeps heavier boxes low for a lower centre of gravity, and may use a little more space. Fast gives a quick answer, which is handy for rough planning. Try all three on the same load and compare the results.

What does "Group #" mean?

Boxes with the same group number are kept together on the same pallet, which is useful when each pallet is for one customer or one order. Leave it empty if the box can go anywhere.

What does "Mixable" mean?

A mixable box can share a layer with other box types to fill the gaps. Turn it off to keep that box in neat layers of its own, for example when cartons must be stacked uniformly.

What is overhang?

Overhang lets boxes stick out past the pallet edge by up to the amount you set on each side. Leave it at zero if your loads must stay within the pallet footprint.

What does "no stacking" do?

Every box sits directly on the pallet deck and nothing goes on top. Use it for fragile or non-stackable goods.

How do I switch between centimetres and inches?

Use the Units section on the calculator's Setup tab. Your choice is saved to your account and used everywhere, and existing values are converted for you.

What is PCF / freight class?

When you work in inches, Pro and Team plans show the load density in pounds per cubic foot (PCF), which US carriers use to set freight class. It's worked out from the total weight and the dimensions of each pallet.

I refreshed the page. Is my work lost?

No. The calculator saves your boxes and settings as you go and restores them when you come back, even after a crash or on another device. You'll see a "Restored your previous session" banner. For a blank calculator, click "Start fresh" in that banner, or "New Setup" at the bottom of the calculator.

Are the results guaranteed to be safe to ship?

No. PalletBrain gives planning guidance from the measurements you enter. Always check that a load is stable, properly secured and within your carrier's limits before it goes out.

Box library & configurations

What is the box library?

A saved list of the box types you use regularly (Pro and Team), so you don't have to retype dimensions. Add boxes from the Box Library page, or import many at once from a CSV or Excel file.

How do I import boxes in bulk?

On the Box Library page choose Import, then upload a CSV or Excel file with columns for length, width, height and weight (and optionally a name). You'll see a preview before anything is saved.

What is a saved configuration?

A snapshot of a whole calculation: pallet setup, boxes and mode. Save one from the calculator (Pro and Team), then reopen it any time from the Configurations page. That's useful for loads you ship again and again.

How do I export results?

From the Results tab, export a PDF load plan or a CSV. Free plan PDFs carry a watermark; Pro and Team exports are clean.

Teams

How do I set up a team?

1. Go to the Team page and give your team a name. You become its admin. 2. Choose monthly or annual billing and the number of seats (minimum 2, and your own seat counts as one), then continue to payment. 3. Once payment goes through, your team plan is active and you can invite people.

How do I invite someone?

On the Team page, enter their email address, choose Member or Admin, and click Invite. They get an email with a button to join.

Each pending invite holds a seat. If all seats are in use, add a seat first.

I was invited. How do I accept?

Open the invite email and click the button.

If you're new to PalletBrain: create an account with the same email address the invite was sent to (this matters, because the invite is tied to that address), activate it, then log in.

If you already have an account: just log in.

Either way, the invite appears on your dashboard. Click Accept to join.

What do team members get?

Every seat includes all Pro features plus the team's shared box library and shared configurations. When you add a box or save a configuration, you choose whether it's personal or shared with the team.

What can team admins do that members can't?

Admins can invite and remove people, make other members admins, rename the team, change the number of seats, manage billing, and edit or delete any shared item. A team must always have at least one admin.

I'm already paying for Pro and have been invited to a team

Your team seat includes everything in Pro. After you accept, cancel your own Pro subscription from Account → Manage Billing so you're not paying twice. You'll keep Pro until the end of the period you've paid for.

How do I leave a team?

On the Team page click Leave Team. You keep your account and personal data; you lose access to the shared library and the paid features your seat provided. If you're the only admin, make someone else an admin first. If you're the one paying for the team plan, cancel it (or switch to Pro) before leaving. If you're the only person in the team, use Delete Team instead.

Plans & billing

How much does PalletBrain cost?

Free: no charge, up to 2 box types per calculation. Pro: £9 / $10 / €10 a month, or £90 / $100 / €100 a year, for one person. Team: £7 / $8 / €8 per seat a month, or £70 / $80 / €80 per seat a year, minimum 2 seats.

You pay in pounds, US dollars or euros. We pick the currency from where you are, and you can change it on the Pricing page before you subscribe. Once you've subscribed, your account stays in that currency.

See the Pricing page for the full feature comparison.

How do I upgrade to Pro?

Go to Pricing and click Get Pro. You'll pay securely through Stripe and your account upgrades straight away. We'll email you a confirmation.

How do I add or remove team seats?

Team admins: on the Team page, use the Change seats control in the Team plan section and confirm.

Added seats are charged now, pro rata for the rest of your billing period. If the card is declined, nothing changes. Removed seats take effect straight away and the unused time is credited against your next invoice.

You can't go below the number of members plus pending invites, so remove a member or revoke an invite first.

How do I move from Pro to Team?

Create your team on the Team page, choose your seats and pay. As soon as the team plan is active we cancel your Pro subscription and credit the unused part to your account, and that credit comes off your next team invoice. You never pay for both.

How do I move from Team back to Pro?

As a team admin, go to Pricing and click Get Pro. Once Pro is paid, the team plan ends straight away and its unused time is credited to your account. Everyone else on the team loses their paid seat, and we email them to let them know.

How do I update my card, see invoices or cancel?

Go to Account → Manage Billing (team admins can also use Manage billing on the Team page). This opens Stripe's secure billing page, where you can change your card, download invoices, or cancel. If you cancel, you keep access until the end of the period you've paid for.

What happens if a payment fails?

We'll email you and show a "Payment failed" notice. Stripe retries the card automatically over the following days, and you keep access while that happens. Update your card in Manage Billing to sort it out. If the payment still can't be taken, the subscription ends and the account goes back to Free.

Can I switch between monthly and annual billing?

Yes. Email hello@palletbrain.com and we'll switch it for you, with any difference credited.

What happens to my data if I downgrade?

Nothing is deleted. Your saved boxes and configurations stay put. On Free you just can't add more than the Free limits allow, and they're all there again if you upgrade.

Account & privacy

How do I change my name, company or password?

Go to the Account page. You can update your details and set a new password there.

How do I change my email address?

Go to the Account page and use Change Email. For your security we send a confirmation link to both your current and your new address, and the change happens once both are clicked. Until then, keep logging in with your current email. Receipts and invoices move to the new address automatically.

I can't get into the email address on my account

If you've lost access to that inbox (for example you've left the company), contact support and choose "I can't access my account or email". Give us an address you can read, the email your account uses, your name and company, and, if you pay, the last 4 digits of the card on the account. We'll confirm it's you and move the account to your new address.

How is my data used?

Your box types, configurations and calculations belong to you and are only used to run the service for you (and your team, for anything you share with it). We use cookie-free analytics. See the Privacy Policy for the details.

How do I contact support?

Use the Contact support form (link at the bottom of every page), or email hello@palletbrain.com. We'll get back to you, usually within one working day.
